Legal Secretary, Dispute Resolution

A great opportunity has arisen in our Banbury office for a Legal Secretary in our Dispute Resolution Department on a full-time permanent basis.

The successful candidate will provide a full secretarial and support service within the department, supporting a Senior Solicitor and Paralegal. You will need excellent keyboard skills, a polite and patient manner, initiative, and a flexible approach.

Please note if you apply direct (not through an agency) and successfully complete your probation period we will give you a one-time bonus payment of £250 (gross pay).

  • Undertaking typing and secretarial work within the Dispute Resolution Department
  • Dealing with initial new client enquiries, allocating them amongst fee earners and signposting appropriately
  • Handling of and dealing with clients’ calls (as delegated by fee earners) and liaising with fee earners on case developments
  • Dealing with clients by phone, email and in person as required
  • Making appointments for clients and diary management
  • Conflict checks on new clients
  • Maintaining files and ensuring efficient case management of matters
  • Preparing bundles for court
  • Preparing documents as required by fee earners
  • File opening and closing of matters using the case management system
  • Producing accurate detailed work to ensure excellence in legal services
  • Attending Dispute Resolution Department Support Meetings and Firm Wide Meetings
  • Support with preparation of bills for approval
  • Issue accurate cost scheduling for clients on a regular basis under fee earner supervision and instructions
  • Maintain and protect client confidentiality at all times internally and externally
  • Providing other general administrative support
  • Undertaking any reasonable instructions given by management within the limits of this employment description
  • Excellent keyboard skills with a good knowledge of Microsoft Outlook and Word. Case management system experience would be advantageous
  • Strong administrative experience essential
  • Dynamic in approach and uses initiative when dealing with clients or potential clients
  • A positive approach to customer service
  • Ability to be a team player and flexible outlook
  • Efficiency to deal with awkward situations and difficult clients in a professional manner
  • Ability to remain discreet and maintain employee and client confidentiality at all times
