A great opportunity has arisen in our Banbury office for a part-time Legal Secretary in our Private Client Department.
The successful candidate will provide a full secretarial and support service within the department, predominantly supporting a Chartered Legal Executive, but also providing administrative support to the wider department. You will need excellent keyboard skills, a polite and patient manner, initiative, and a flexible approach.

- Undertaking typing and secretarial work within the Private Client Department for a fee earner, and also assisting when needed across the Department as part of the Private Client support team
- Handling of and dealing with clients’ calls and liaising with Fee Earners where appropriate, although no legal advice may be given
- Seeing clients in Reception
- Making appointments for clients
- Conflict checks on new clients
- Locating files for next day’s appointments and passing to Fee Earner
- Maintaining filing systems
- Providing general administration tasks, as and when required
- Dictation as and when required
- Attending Private Client Department Support Meetings and Firm Wide Meetings
- Provide reception cover as required
- Preparing accurate invoices and cost scheduling for clients on a monthly basis under Fee Earner supervision/instructions
- Maintain and protect client confidentiality at all times internally and externally
- Undertaking any reasonable instructions given by management within the limits of this employment description
- At least one years’ experience working within a Private Client Department, providing full secretarial support, dealing with Wills, Powers of Attorney and Estate administration.
- Excellent keyboard skills with a good knowledge of Microsoft Outlook and Word. Case management system experience would be advantageous
- Dynamic in approach and uses initiative when dealing with clients or potential clients
- A positive approach to customer service
- Ability to be a team player and flexible outlook
- Efficiency to deal with awkward situations and difficult clients in a professional manner
- Ability to remain discreet and maintain employee and client confidentiality at all times
